MRX Africa 2026 is organised by TMI Africa (The Maintenance Institute Africa) and ASMRA (African Society for Maintenance Reliability and Asset Management). This website (mrxconference.com) and the conference registration process are operated by Epsilon Reliability Solutions Limited, a company registered in Nigeria with offices in Port Harcourt, Lagos, Colorado (USA), Texas (USA), and England (UK).

2. What Personal Data We Collect

When you register for MRX Africa 2026, submit an abstract, enquire about sponsorship, or contact us, we may collect:

• Full name, job title, and organisation
• Email address and phone/WhatsApp number
• Country and city of residence or work
• Professional specialisation and industry sector
• Abstract and paper content (for Call for Papers submissions)
• Payment information (processed securely via Selar — we do not store card details)
• Passport information (for visa invitation letter requests only)
• Dietary requirements and accessibility needs (for conference logistics)
• Photography and video at the conference (with consent)

We also collect anonymised website usage data via standard analytics tools to improve the conference website.

3. How We Use Your Data

We use your personal data only for the following purposes:

• Conference administration: Issuing delegate badges, certificates, and conference materials
• Communication: Sending confirmation emails, programme updates, and logistics information relevant to the conference you are registered for
• Visa support: Issuing official invitation letters for Nigerian visa applications (using only the information you provide for this purpose)
• CPD documentation: Issuing CPD certificates and attendance records
• Marketing communications: With your consent, informing you of future TMI Africa and ASMRA events, programmes, and resources
• Abstract review: Sharing submitted papers with the Technical Programme Committee for evaluation
• Sponsorship: Connecting sponsors with delegate statistics (aggregated and anonymised — never individual delegate data without explicit consent)

4. Who We Share Your Data With

We do not sell your personal data. We share data only where necessary:

• Selar (payment processing) — for registration fee transactions
• FormSubmit (form delivery) — for contact and abstract forms
• Programme Committee members — for abstract review (paper content and author name/organisation only)
• Four Points by Sheraton Lagos — delegate lists for hotel coordination (name and room booking only, where applicable)
• ASMRA — co-organiser with equivalent data protection obligations
• Legal and regulatory authorities — where required by Nigerian law

5. Data Retention

Conference registration data is retained for 5 years from the date of the conference for CPD record purposes and future conference reference. Abstract and paper submissions are retained indefinitely as part of the official conference proceedings. You may request deletion of your personal data at any time (subject to legal retention requirements) by emailing programs@tmiafrica.org.

6. Your Rights

You have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data (where no legal retention obligation exists)
• Withdraw consent for marketing communications at any time

The conference may be photographed and videoed for publication on TMI Africa and ASMRA channels. By attending, you acknowledge that photographs taken in public conference areas may include you. If you prefer not to be photographed, please inform a member of the conference team on arrival and we will make reasonable adjustments.

We take reasonable technical and organisational measures to protect your personal data. All payment processing is handled by Selar, which uses industry-standard encryption. We do not store payment card details on our systems.
